Event venue relocation

Wedding Hall and Event Venue Movers in Jeddah

Chairs by the hundred, round tables, a stage and chandeliers. Counted out, counted back in, and moved between seasons rather than through one.

What it costs to move a venue

Moving the contents of a mid-sized wedding hall in Jeddah runs SAR 1,200 to 1,900. A large multi-room venue starts at SAR 1,500 and reaches SAR 2,500 or more depending on quantity and floors. A partial move — a stage set alone, or a batch of tables and chairs — falls into a lower band starting at SAR 500, and single items are SAR 80 to 250.

What separates a venue from every other kind of premises is quantity. A mid-sized hall holds two hundred chairs or more and twenty to thirty round tables, and that makes the job logistical rather than furniture handling. How things are counted and stacked determines the number of trips, and the number of trips determines both the price and the length of the day.

Chairs and tables: stacking is the price

Every stacking error costs you one more trip.

Banquet chairs usually stack, but there is a height limit. We build towers of fifteen to twenty depending on the model and strap each tower top and bottom. Anything taller leans at the first corner and takes down whatever is beside it.

Upholstered or gilded chairs need a separator between each one, or the covering wears away through friction. That reduces the count per tower but preserves the appearance, and it is the difference between a venue that looks new and one that looks used.

Round tables fold their legs and travel flat and stacked horizontally, never on edge, with a separator between surfaces. A table on its edge rolls however well it is tied. The first and last tops in a stack are wrapped, because they are the only two exposed to direct contact.

The stage set and the kosha

Sometimes it is moved, sometimes it is rebuilt, and the decision belongs a week in advance.

👰

A demountable set

If the stage set is built from frames, panels and drapes it comes apart with full numbering and travels flat. The numbering is not a luxury: rebuilding an unnumbered set takes twice as long.

🏗️

A built-in set

Anything fixed to the floor or integrated into a wall is normally not moved. Building a new one at the new venue costs less and takes less time than dismantling a structure that was never designed to come apart.

🪜

Stage and steps

Deck panels are dismantled and numbered; a one-piece staircase travels whole. Panels travel flat and strapped.

🎭

Drapes and curtains

Taken off their tracks and folded into numbered bags naming the wall they came from, and moved in a stage entirely separate from the rough furniture.

💡

Chandeliers

Isolated at the board before removal. Glass arms come off one at a time and each is wrapped and boxed with dividers.

🔊

Sound and stage lighting

Speakers and moving heads are removed by the audio technician, travel in their original cases, and the rig layout is photographed before anything is touched.

Timing: between seasons, never through one

A venue is not moved in a week that has a booking in it.

1

Fix the last booked event

The plan is built on the date of the final event and the first booking at the new venue, not on a notional date.

2

Clean before packing, not after

Chairs and tables that travel dirty arrive dirty and are far harder to clean once stacked. Cleaning first saves a full day later.

3

Count everything

Chairs, tables and covers are recorded before loading and checked at the unload. At these quantities nobody notices ten missing pieces without a written count.

4

Covers and linens separately

Washed, folded and boxed apart from the furniture, because they are the first thing to get dirty and the last thing needed.

5

Unload by room

At a multi-room venue each set goes straight into its own room. Nothing is carried twice inside the building.

Buffet and kitchen equipment

Part of the venue, moved by commercial kitchen rules.

  • Hot cabinets and holding trolleys are emptied and dried completely before loading.
  • Metal trays and serving ware are packed with dividers, because metal-on-metal scuffing shows under hall lighting.
  • Fridges and chillers are disconnected hours in advance, travel upright, and are not switched on immediately after placing.
  • Glassware goes into divided boxes only, stacked no more than two layers deep.
  • Metal buffet tables have their legs removed and travel flat.

Storage between seasons

A practical option for seasonal venues.

Monthly billing; equipment enters stacked and numbered and leaves against the same count.

Many venue owners store chairs, tables and covers out of season rather than letting them occupy the hall. Storage costs less than the floor space itself. See corporate storage.

How many trucks does your venue need?

A rough calculation you can do before you call.

The approximation we work with: two hundred stacked chairs occupy roughly one mid-sized truck load, and twenty folded round tables occupy about half of another. Add the stage set, drapes, lighting and buffet equipment and a mid-sized hall usually needs two to three trips with one vehicle, or two vehicles in a single run.

That calculation is approximate by nature and no price is built on it. What we do at the survey is count for real: the exact number of chairs, the number of tables, the dimensions of the stage set and the number of lighting pieces. The trip count comes out of that count, and the written price comes out of the trip count.

A large multi-room venue is normally moved across two days — one for the main hall and one for the secondary rooms and ancillary areas — because compressing it into a single day means a tired crew and errors in the counting.

Moving a set to a villa or a rest house

The smaller job, and the one we are asked for most.

A large share of our enquiries are not whole-venue moves at all. They are equipment delivered to an event location and collected afterwards: chairs and tables to a villa, a rest house or a camp, or a small stage set to an outdoor site.

That needs different planning. First, the timing is tight: delivery must finish hours before setup begins, and collection starts immediately after the event, usually late at night. Second, counting matters more than ever: what goes out must come back at the same number, and the count is taken twice — at loading and at collection.

Third, event locations are not equipped. There may be no loading bay, no lift and not even level ground. We always ask about the nature of the site and for a photograph of its entrance before fixing the crew size. See farm and rest house moving.

Venue relocation questions

What venue owners and event organisers ask us.

SAR 1,200 to 1,900 for a mid-sized hall and SAR 1,500 to 2,500 or more for a large venue, after a survey with a real count.

Yes if it is demountable, with full numbering. A set built into the floor is not moved; building a new one is cheaper and faster.

Fifteen to twenty depending on the model, strapped top and bottom. Upholstered chairs need separators, so the count per tower drops.

Yes, isolated at the board first, with glass arms removed one at a time and each wrapped individually.

We move it after the audio technician removes it, and we photograph the rig layout before anything is touched.

One working day in most cases across two or three trips. A large multi-room venue needs two days.

Yes, monthly by volume, entering stacked and numbered and leaving against the same count.

Washed, folded and boxed separately from the furniture, because contact with frames soils them first.

Yes, once emptied and dried. Chillers travel upright and are not switched on immediately after placing.

Yes, and it includes a real count of chairs, tables and lighting pieces. The resulting written price is fixed.
