Exhibition and conference furniture movers in Jeddah

An exhibition cannot be postponed. We move, install and strike exhibition and conference furniture inside a fixed time window, with crews that work overnight where required and a photographed inventory of everything entering and leaving the hall.

Short answer: what makes exhibition moving different

The real difference between a household move and an exhibition move is not the furniture, it is the window. A home waits; a venue does not. You have defined hours to build before doors open and defined hours to clear after the closing session, and any slippage means a penalty from the organiser or an unfinished hall in front of visitors. So we build the plan around time first and furniture second: who enters, through which door, in what order, at what hour. Pricing follows a free site and inventory survey, and the quote is handed over in writing.

What we move for exhibitions and conferences

A realistic list of what recurs in Jeddah venues.

  • Prefabricated stands, partitions, back walls and banner stands.
  • Chairs by the dozen or the hundred, round tables and registration desks.
  • Stages, lecterns, stage steps and heavy decorative pieces.
  • Display screens and their mounts, sound systems and equipment cases.
  • Counters, glass display fronts and product shelving.
  • VIP room furniture: seating, side tables, rugs and decorative plants.
  • Boxes of printed material, giveaways and delegate bags.

Planning the window

The element that decides success or failure.

1

One week out: survey and inventory

Site visit, doors, corridors and lifts measured, and the list counted rather than estimated.

2

Two days out: warehouse preparation

Items grouped, numbered, wrapped and loaded in reverse order, so the last thing into the hall is the first thing on the truck.

3

Build night: access and installation

Entry at exactly the allotted time, with the crew split between unloading and installing inside the hall.

4

Event day: a crew on standby

An open line and a team nearby for any late change or additional item.

5

Strike night: dismantling and clearance

Fast, orderly dismantling using the same numbering, and the hall cleared inside the organiser deadline.

6

After the event: storage or return

Back to your premises, or into our warehouse until the next event.

Venue rules worth knowing before you book

This section exists because these are the most common causes of trouble.

1

Loading doors, not the main entrance

Every venue has a designated loading door with a fixed height. Measuring it beforehand decides whether an item goes in whole or has to be dismantled.

2

Permitted working hours

Many venues allow build only at night or within set hours. We build the schedule around those hours rather than around our own convenience.

3

Access passes for crew

Names and ID numbers are usually required in advance. We submit them early enough that nobody is left standing at the gate.

4

Floor protection

Many halls forbid dragging anything across the floor and charge for scratches. We use rubber-wheeled trolleys and protective sheeting.

5

Venue prohibitions

Some halls ban drilling into walls or certain adhesives. We ask before the work, not after.

6

Clearance deadline

The strike window is usually tighter than the build window. We plan it from the start rather than on the final night.

Packing for events is not packing for homes

Because this furniture is used again and again.

Exhibition furniture is not relocation furniture. It comes back and is used at the next event. The goal is therefore not only that it arrives intact, but that it is still serviceable after ten events. In practice that means reusable covers instead of disposable film, dedicated cases for recurring items such as banner stands and screens, and permanent numbering that stays with the piece from one event to the next.

The second benefit is larger. Once every item has a case and a fixed number, the next build is much faster and cheaper, because nobody searches and nobody guesses. That is the difference between a removals company and an events partner. See corporate furniture moving.

Prices for moving, dismantling and installation

The published list is the basis; commercial projects are quoted on it after survey.

Move sizePrice range (SAR)What the price covers

Moving chairs and tables in bulk

Here the challenge is count, not weight.

A hundred chairs are not a hundred separate items in planning; they are stacking units. Stackable chairs travel in strapped towers rather than singly, and round tables travel upright on dedicated trolleys rather than flat. The common error is to estimate time from the number of items. The correct measure is the number of trolley runs between the truck and the hall.

We number chairs in groups rather than individually, and we count them three times: at loading, at unloading and at clearance. Three counts sounds excessive until five chairs go missing from a hired inventory and the charge lands on you.

Screens and sensitive equipment

Highest value, lowest weight.

  • Screens always travel upright, in their original cases or in dedicated padded cases that stay with your company.
  • Mounts are dismantled and their fixings bagged and taped to the mount itself.
  • Cables are coiled and labelled with the device name, because untangling cable on build night is real lost time.
  • Equipment cases load last and unload first, because installation starts with them.
  • Equipment is handed to a named company representative against a signed inventory, never left in the hall.

Storage between events

The service that turns a move into an annual contract.

Volume storedMonthly rent (SAR)
One to two rooms of contents150 – 300
A full flat250 – 450
A villa400 – 800

Monthly storage includes basic wrapping and a photographed inventory at intake.

Many companies run several events a year and have no warehouse of their own. We store event furniture between dates, numbered and photographed, and deliver it ready for the next build. See corporate furniture storage.

Heavy items and large decor

When a special arrangement is needed.

Large decor, stages, stone bases and heavy display pieces need a bigger crew and sometimes lifting equipment, as well as coordination with the venue over the access route and floor loading. We identify these at survey and place them at the start of the build schedule rather than the end, because a delay on them delays everything behind them. See heavy item moving.

What we need from you for an accurate quote

Five pieces of information.

  • The venue name, and the build and strike dates by the hour, not only by the day.
  • The inventory with counts: how many chairs, tables, panels and screens.
  • Where the consignment leaves from: your warehouse, your office, or ours.
  • Whether there are heavy items, large decor or glass fronts.
  • Whether you need storage afterwards or a return to your premises.

Exhibition and conference moving questions

What event organisers and companies in Jeddah ask.

Yes, and it is the normal arrangement, because most venues allow build outside business hours. The schedule is built around the venue permitted hours, not our convenience.

On the published list for moving, dismantling and installation, finalised after a free survey of the site, the inventory and the time window. The quote is issued in writing before work starts.

Yes, and we plan it from the beginning, because the strike window is usually tighter than the build window. Dismantling uses the same numbering as the build.

Usually yes. Venues ask for names and ID numbers in advance, and we submit them early enough that nobody waits at the gate.

In strapped stacks on rubber-wheeled trolleys rather than piece by piece, and we count them three times: at loading, at unloading and at clearance.

Moved upright in padded cases, with mounts dismantled and fixings bagged, and handed to a named representative against a signed inventory rather than left in the hall.

Yes, numbered and photographed. Monthly storage starts at SAR 150 for one to two rooms of contents and scales with volume, delivered ready for the next build.

We commit to a written schedule agreed hour by hour, and keep a standby crew nearby on event day. Timing is the substance of this service, not an extra.

Jeddah is the base, and we move event furniture to other cities when needed under our intercity service, with a closed truck and a photographed inventory.

Yes. Companies running repeat events benefit most, because permanent numbering and dedicated cases make every event faster and cheaper than the last.
