What makes a diplomatic relocation different
The difference is not the volume of furniture; it is the constraints around the work. Three things recur on every project of this kind and all three need settling before the agreement, not during execution.
Access. Entry to mission premises follows procedures set by the organisation itself, and usually requires crew names and vehicle plates ahead of the date. A last-minute change of crew can mean refused entry and a lost day.
Confidentiality. Part of the contents is neither opened nor sorted by us. Sealed cartons, files and cabinets stay closed, and a member of your staff hands them over and receives them. Our responsibility ends at external packing and secure transport.
Timing. Work rarely stops entirely, so the move runs in defined windows in the evening or at the weekend, with departments relocated in sequence rather than the whole premises closing at once.
Phased execution
Relocating a complete office in one go stops the work of the organisation. The alternative we apply is a sequence of phases:

A drawing fixing the position of every desk, cabinet and item before the day, so no placement decisions are taken during unloading.
Advance numbering and labelling
Every item and carton carries a label with its department and new location, which is what makes unloading directed rather than random.
Move in phases
One department or floor per phase, so the rest of the premises keeps working, with each section reinstalled as soon as it arrives.
Handover and inventory close
The numbered list is checked with your representative, receipt is signed and packing waste removed before the crew leaves.
Files and archives: the right method
Paper archives are the most mishandled part of any institutional move, because they are heavy, visually identical and easy to mix up. Our rule is that archives are never reordered during a move.
Small cartons, not large
A full carton of paper quickly becomes too heavy to carry safely, so we use small cartons filled partially.
Order preserved
Contents travel in their original order, and the carton is marked with the department and range rather than a detailed description.
Cabinets emptied
Moving a loaded filing cabinet damages its drawers and runners and makes its weight a hazard to crew and floors alike.
Sealed stays sealed
Anything your staff seals, we do not open. It is delivered as received and recorded on the inventory as a single unit.

A specialist joiner carries out the dismantling; parts and fixings are numbered and bagged to each piece and refitted at the new premises within the same phase.
Modern office furniture carries many connectors and runners, and taking it apart without the proper tools permanently damages the fixing points, so the piece never sits firmly again.
Artworks and official items
A mission holds pieces whose value is not set by the market: official gifts, artworks, flags and plaques. These follow rules of their own, separate from the rest of the furniture.
- Each piece is listed on the inventory by name and number, never inside a mixed carton.
- Packing is individual: shock-absorbing foam and then rigid card, and no two pieces are ever wrapped together however small.
- Artworks and mirrors travel upright and secured between soft items, with nothing placed on top of them.
- Each piece is photographed before wrapping and after delivery, and the images are attached to the inventory.
- We prefer, and usually request, that a representative of the organisation attends the loading and unloading of these items.
IT and communications equipment
Institutional premises hold network equipment, servers, printers and communications systems, and these cause more post-move disruption than anything else when moved without method. Our rule is that IT equipment is disconnected and reconnected under the supervision of whoever is responsible for it.
- Photograph the rear connections of each device before disconnecting — an image beats any written description at reassembly.
- Label cables with tape at both ends, since an unmarked cable costs half an hour of port testing.
- Wrap devices individually in padded cartons, with screens carried upright rather than flat.
- Move servers and network equipment in the final phase and install them first at the new premises, because every other department depends on them.
- Hand the equipment to the responsible technician at the destination and have them sign for it on the inventory.

Contents are taken in against a numbered inventory and part of the load can be collected ahead of the rest as the fit-out progresses.
Storage is particularly useful where the old premises must be vacated before the new one is ready, which is common because lease end dates rarely align with fit-out completion.
Crew conduct on sensitive sites
Working inside official premises imposes a discipline beyond ordinary professional conduct:
- Keep to the agreed route inside the building and do not move beyond the scope of work.
- No photography except of what is permitted in writing as part of the inventory record.
- A fixed crew for the duration of the project, with any change notified in advance for access procedures.
- Strict adherence to the agreed time window, since overrunning leaves access arrangements open without cause.
- The old premises handed back clean and clear of packing waste before departure.
